WN1 Sustainability respects your privacy and is committed to protecting your personal data. This privacy notice explains how we look after your personal data when you visit this website, tells you about your privacy rights, and explains how the law protects you.

This website is not intended for children and we do not knowingly collect data relating to children.

2. The personal data we collect about you

We may collect and use the following kinds of personal data: identity data, including your first name and last name; contact data, including your email address, telephone number and the organisation you represent; enquiry data, including the service you are interested in, the sector you work in, and the content of any message you send us; and technical and usage data, including your IP address, browser type and version, time zone setting, operating system, and information about how you use this website.

We do not collect any special categories of personal data about you, and we do not collect any information about criminal convictions or offences. We do not process payment data through this website.

3. How we collect your personal data

We collect data directly from you when you complete the enquiry form on this website, email us, or speak to us by telephone. We collect technical and usage data automatically through cookies and similar technologies when you accept them — see our cookie policy for detail. We may also receive data about you from publicly available sources, such as Companies House, or from procurement frameworks through which we are an approved supplier.

4. How we use your personal data

We will only use your personal data when the law allows us to. Most commonly we rely on: performance of a contract, where we need to deliver a project or service you have engaged us for; legitimate interests, meaning the interest of our business in operating and improving it, where this does not override your rights; consent, which we rely on for optional analytics cookies and for any marketing emails; and compliance with a legal obligation, where we are required to keep or disclose records.

Specifically, we use your data to respond to your enquiry and provide a quotation, to deliver and manage projects, to keep records required for our ISO 9001, 14001 and 45001 certifications and framework obligations, to understand how this website is used so we can improve it, and to send you information about our services where you have asked us to or where we have a legitimate interest in doing so.

5. Who we share your personal data with

We may share your personal data with service providers who support our business, including our IT and website providers, our email and analytics providers, and our professional advisers. We may share data with subcontractors where they are delivering part of a project for you. We may share data with procurement framework operators where a project is delivered under a framework we are approved on. We may share data with regulators, certification bodies and other authorities where we are required to do so.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes, and we only permit them to process it for specified purposes and in accordance with our instructions.

6. International transfers

Some of our external service providers are based outside the UK, so their processing of your personal data may involve a transfer of data out of the UK. Where we transfer your personal data out of the UK, we ensure a similar degree of protection is afforded to it by using specific contracts approved for use in the UK, or by transferring only to countries covered by UK adequacy regulations. 7. Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.

We have procedures in place to deal with any suspected personal data breach, and will notify you and any applicable regulator of a breach where we are legally required to do so.

8. Data retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including to satisfy any legal, accounting, contractual or reporting requirements. Where a project has been delivered, we retain records for the period required by the relevant warranty, framework or certification obligations. Enquiries that do not proceed are retained for no longer than is necessary for our legitimate business interests.

In some circumstances we may anonymise your personal data so that it can no longer be associated with you, in which case we may use that information indefinitely without further notice to you.

9. Your legal rights

Unless an exemption applies under data protection law, you have the following rights in relation to your personal data: the right to be informed about how your personal data is used; the right to request access to your personal data; the right to request correction of inaccurate or incomplete data; the right to request erasure of your personal data; the right to object to processing where we are relying on a legitimate interest; the right to request restriction of processing; the right to request transfer of your personal data to you or to another controller; and the right to withdraw consent at any time where we are relying on consent.

You will not usually have to pay a fee to exercise these rights. We may need to request specific information from you to help us confirm your identity. This website uses a small number of essential cookies that are required for it to function, and optional analytics cookies that help us understand how the site is used. Analytics cookies are only set if you accept them using the cookie banner shown on your first visit. We do not use advertising or cross-site tracking cookies.
